Job Description

A Receptionist is a professional who manages the front desk of an organization. They play a crucial role as the first point of contact for customers and visitors. The role of a receptionist is pivotal in creating a positive first impression of an organization as they are often the first point of contact for visitors and callers.

Duties

    1. Welcoming Visitors:

      • – Greet and welcome visitors with a friendly and professional demeanor.
      • – Ensure visitors sign in and provide necessary identification.
    2. Answering and Directing Calls:

      • – Answer incoming calls promptly and professionally.
      • – Direct calls to the appropriate personnel or department.
    3. Providing Information:

      • – Offer basic information about the organization, its services, and its location.
      • – Assist visitors in finding their way around the premises.
    4. Managing Front Desk Operations:

      • – Maintain a clean and organized reception area.
      • – Manage incoming and outgoing mail and packages.
SALARY:

R95,000 – R120,000 Per Year

Certificate in Office Management or Equivalent

Duties & Responsibilites

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

  1. Scheduling Appointments:

    • – Schedule appointments for both staff and visitors.
    • – Coordinate meeting room reservations.
  2. Handling Inquiries:

    • – Respond to general inquiries via phone, email, or in person.
    • – Provide accurate and helpful information.
  3. Administrative Support:

    • – Assist with basic administrative tasks, such as photocopying, filing, and data entry.
    • – Support other departments with clerical tasks as needed.
  4. Security and Access Control:

    • – Monitor and control access to the premises.
    • – Follow security protocols and report any suspicious activity.
  5. Customer Service:

    • – Ensure a high level of customer service for all visitors and callers.
    • – Address concerns or issues with professionalism and courtesy.
  6. Communication Coordination:

    • – Relay messages and information to the appropriate individuals or departments.
    • – Keep staff informed of any relevant updates or announcements.
  7. Multi-Tasking:

    • – Handle multiple tasks simultaneously, such as answering phones while greeting visitors.
    • – Prioritize tasks based on urgency and importance.
  8. Technology Proficiency:

    • – Utilize office equipment, such as phone systems, computers, and other communication tools.
    • – Learn and use any specific software or databases related to receptionist duties.
  9. Professionalism:

    • – Maintain a professional appearance and demeanor.
    • – Uphold the organization’s standards for customer service.

English Proficiency

EXPERIENCE:

5+ Years

Computer Skills, Windows, Mac, Microsoft Word, Publisher, Excel, Outlook,  and PowerPoint.

Skills: Analytical, Problem Solving, Planning and Organizing, Communication (verbal and written), Computer Literacy, Report Writing, Listening, Customer Focused, Fast Leaner, Quick and Diligent.
